Case Study: Strategic Operations & Financial Oversight

The Challenge

Operating a large-scale international circus production involves high-stakes logistics, multi-currency financial management, and the coordination of a diverse, fast-moving team. The client required a leader who could manage the "backstage" business engine with the same precision as the "on-stage" performance, ensuring profitability during a high-pressure seasonal run.
 

The Strategic Solution

As the Operational Lead and Business Manager, I moved beyond simple bookkeeping to establish a robust operational framework. My focus was on centralising data, managing international teams, and providing the CEO with real-time financial clarity.
 

1. Financial Infrastructure & Analysis

I implemented a rigorous financial tracking system to manage the high volume of daily transactions inherent in a touring production.

  • Data-Driven Decisions: Analysed web sales and box office data daily to monitor ROI on marketing spend.

  • Asset Management: Oversaw the procurement and tracking of production assets, ensuring the show stayed within budget while maintaining high production values.
     

2. International Team Coordination

Managing a circus requires coordinating performers and technicians from around the globe. I acted as the central hub for communications, ensuring that contractual obligations, travel logistics, and payroll were executed flawlessly across borders.
 

3. Operational Continuity

In a live production environment, delays are not an option. I developed "on-the-fly" problem-solving protocols to handle logistical bottlenecks—from technical equipment failures to staffing shifts—ensuring the production remained on schedule for every performance.
 

The Results

  • Financial Transparency: Provided the CEO with comprehensive end-of-season audits and real-time budget tracking, leading to more informed investment for future seasons.

  • Streamlined Logistics: Reduced administrative friction by centralizing team communication and document control.

  • Operational Excellence: Successfully managed the "back-of-house" operations for a multi-week international run, allowing the creative team to focus entirely on the performance.

This project exemplifies my ability to manage the 'Chaos to Clarity' pipeline. By applying high-level financial oversight and systems-driven management to the creative industry, I proved that even the most complex, fast-moving businesses can operate with stability and precision.

Organised and Efficient

Charlotte came on board to help with ticket sales in 2023 and we haven't looked back. She has become an integral part of the festival team, helping the ticket team, which she now manages, to ensure that our visitors have the best experience. She is not afraid to give valuable feedback to help us grow and move forward positively and works hard to ensure that everything runs smoothly in the ticket department, as well as across the rest of the festival site.
